Pre-planning and organizing a Christmas party well in advance will help make the process run smoothly while allowing the party planner to stay within the holiday budget.

Christmas parties can be a lot fun to plan. They can also be quite stressful. A bit of time spent on organizational planning will help relieve the pressure. Organization is crucial when planning a Christmas party. Use a notebook to organize the master plan. Itemized checklists will help keep the plans on track. Use a separate checklist to cover each step of the Christmas party planning. Event planners, whether beginner or experienced, all share in the desire to make each party unique. By following these simple suggestions, the party will be a success.

Holiday Budget

The available holiday budget should be decided well in advance of the party. This is one of the first details to consider and will affect each area when planning a Christmas party. There will be facility rental fees if the party is to be held in a location other than a home. A DJ or musician’s fees, food costs and decorations will all need to be determined. Once the budget is figured out, the planner will be able to move on to other plans.

Party Location

One of the first items to consider after the budget is decided is the location of the Christmas party. If the party is to be held in a home, the location is already set. If the party needs to be held at another location, consider local restaurants, hotels or community centers. Call as early as possible so the rooms will be available. Make sure the room reserved is big enough to fit the number of expected guests.

Christmas Party Menu

The budget will help decide the party menu. Appetizers are the least expensive foods to serve. Plated meals allow the planner to control serving sizes and amounts. Buffets allow guests to choose from a variety of offerings, but the food budget will need to allow overage in case people take large servings or come back for seconds. If the Christmas party menu is planned by a caterer, work together to figure out the best price per meal that works with the holiday budget.

Christmas Party Decorations

Keep the holiday budget in mind when planning the decorations. Crisp, white table linens can be rented and will give the party an upscale appearance. Centerpieces for the tables will need to be decided. Potted plants like poinsettias will add a splash of color. Colorful place mats and linen napkins that coordinate with the centerpieces will add a festive look to the tables.

By putting a bit of forethought into the planning, the Christmas party will be a complete success that guests will remember for a long time after the party is over.
